How to open the Files page

To access the Files page:

  1. Look at the sidebar on the left side of the screen.

  2. Click the Files icon (document icon) in the navigation menu—this is the Files tab.

  3. The Files page opens, showing all files in your current project.

The Files page displays all files (also called assets) uploaded to your project. This gives you a project-wide view of all your content.

Overview

The Files page is your central hub for viewing and managing all files in your project. It shows every file you've uploaded, organized in a searchable, filterable list or grid view. You access the Files page by clicking the Files tab in the sidebar.

What you'll see:

  • All project files — Every file in your project, regardless of collection

  • File cards — Each file displayed as a card with key information

  • Search bar — Find files by name or content

  • Label filters — Filter files by the labels you've assigned

  • Quick actions — Chat with files, view details, manage files directly from the page

The Files page helps you:

  • Find files quickly — Search across all your content

  • Understand your knowledge base — See what files you have and their status

  • Start conversations — Chat with individual files or all files at once

  • Organize content — Filter by labels to see related files together

Files page layout

The Files page has three main sections: the header with actions, search and filter controls, and the file cards themselves.

Header and actions

At the top of the Files page, you'll see:

  • "Project Files" title — Shows you're viewing all files in the project

  • "Chat with X files" button — Opens a new chat with all files in scope (where X is the total number of files)

ℹ️ Clicking "Chat with X files" starts a new chat where Storytell can search and answer questions using all your project files. This is useful for broad questions that might span multiple files or collections.

Search, upload, and filters

Below the header, you'll find:

  • Search bar — Type to search file names and content

  • Upload section — Upload content into your Project

  • Filter button — Add label-based filters to narrow your view

The search bar searches across file names and the text content within files. As you type, the file list updates to show matching results.

The filter button opens a label picker where you can select labels to filter by. Files matching your selected labels appear in the list.

File cards

Files are displayed as cards (or rows, depending on your view preference). Each card shows:

  • File icon — Visual indicator of file type (PDF, Word, Excel, image, etc.)

  • File name — The original filename

  • Labels — Any labels assigned to the file

  • Concepts count — Number of concepts Storytell extracted from the file

  • Expert Lens badge — If available, shows how many expert questions are suggested

  • Status indicator — Processing status (ready, processing, error)

  • Actions menu — Options to chat, visualize, rename, delete, and more

ℹ️ Click a file card to open it in the File Detail view, where you can preview the content and see more information.

Searching files

The search bar at the top of the Files page lets you find files quickly.

To search:

  1. Click in the search bar at the top of the Files page.

  2. Type your search term (file name or content keywords).

  3. The file list updates automatically as you type, showing only matching files.

What gets searched:

  • File names — Exact matches and partial matches

  • File content — Text within documents, PDFs, and other text-based files

  • Labels — Labels assigned to files

Search is case-insensitive and matches partial words. For example, searching "report" finds files named "Q4 Report.pdf" and files containing the word "report" in their content.

Filtering files by labels

Use label filters to show only files that have specific labels assigned.

To add a label filter:

  1. Click the Filter button (plus icon) next to the search bar.

  2. In the label picker that opens, search for or scroll to find the label you want.

  3. Click the label to add it as a filter.

  4. The file list updates to show only files with that label.

Filter operators:

When you add multiple label filters, you can control how they combine:

  • Include all — Shows files that have ALL selected labels (AND logic)

  • Include any — Shows files that have ANY of the selected labels (OR logic)

  • Exclude if all — Hides files that have ALL selected labels

  • Exclude if any — Hides files that have ANY of the selected labels

Click the operator button (shows "include all" or "include any") to switch between AND and OR logic.

To remove filters:

  • Click the X on a filter pill to remove that specific filter

  • Click Clear to remove all filters at once

File card information

Each file card displays key information about the file at a glance. Click a file card to bring up the side panel and view details about the card

File details

Every file card shows:

  • File icon — Color-coded icon indicating file type (PDF, Word, Excel, image, video, etc.)

  • File name — The original filename from upload

  • File type indicator — Visual or text indicator of the file format

The file icon and color help you quickly identify file types when scanning through many files.

Labels

If a file has labels assigned, they appear as small pills on the card. Labels help you categorize and organize files. Click a label to filter the Files page to show only files with that label.

Concepts

The card shows a concepts count — the number of semantic concepts Storytell extracted from the file. Concepts are key topics, entities, and ideas Storytell identified in the content. A higher concept count often indicates richer, more detailed content.

Click the concepts indicator (if available) to see the Concept Graph view for that file.

Expert Lens

If Expert Lens suggestions are available for a file, you'll see an Expert Lens badge on the card (e.g., "See what 5 experts would ask about this File"). This shows how many expert-style questions Storytell has generated for that file.

Click the badge to see the suggested questions, then click a question to start a chat with that prompt.

File status

Each file card shows its processing status:

  • Ready — File is fully processed and available for search and chat

  • Processing — File is being analyzed (extracting text, identifying concepts)

  • Error — Something went wrong during processing

Files with errors show an error indicator. Hover or click to see error details.

Actions on files

From the Files page, you can perform several actions on files without opening them.

View file details

To view a file:

  1. Click anywhere on the file card (outside of action buttons).

  2. The file opens in the File Detail view, showing:

    • File preview (for supported file types)

    • Full file information

    • Concept Graph (if concepts are available)

    • Download and other actions

Chat with a file

To start a chat with a single file:

  1. Hover over a file card to see action buttons.

  2. Click the Chat button (message icon) or the chat icon in the actions menu.

  3. A new chat opens with that file in scope.

You can also click the file card, then use the "Chat with this file" option in the File Detail view.

Chat with all files

To chat with all project files:

  1. Click the "Chat with X files" button at the top of the Files page.

  2. A new chat opens with all project files in scope.

This is useful for broad questions that might reference content across multiple files.

View options

The Files page supports different view modes:

  • Grid view — Files displayed as cards in a grid layout (default on larger screens)

  • List view — Files displayed as rows in a list layout (more compact)

View options may be available via a toggle or settings menu, depending on your screen size and preferences. Grid view is better for visual scanning, while list view shows more files at once.
